Most travel vendors offer electronic receipts that can easily be accessed from their online reservation application. If you have already made a good-will effort to obtain the receipt, you will need to include an explanation of the situation within Chrome River. When you attempt to submit an expense without the required documentation, you will receive a Chrome River “Warning” and a field where you can type the explanation. This will replace the need for submitting a separate missing receipt form.
All receipts uploaded to Chrome River are considered original documents. However, the recommended best practice is to retain all paper receipts after upload until the expense report is fully approved in case there were readability issues with the snap/scan/upload.
Once a receipt is used on an expense report, it is deleted from the gallery. You can always retrieve the receipt by opening the associated report and clicking on the desired receipt image.
You will use the "Itemization" tile, rather than a specific expense category. For example, if your total invoice amount is $1,000 and $500 goes to lab supplies and the other $500 is equipment, you can do that by using the P-card Itemization tool without having to upload the receipt multiple times.
You can upload as many receipts as you wish into your Chrome River Receipt Gallery at one time. For example, if you have 20 receipts that you have saved to your computer over the past 10 days, you can select all 20 and upload them to your receipt gallery. The OCR process will attempt to link them to existing p-card transactions in your eWallet.
When it is convenient for you during the month, you then can create an expense report, select the corresponding 20 P-card transactions from your eWallet to add to the report, and complete the report as we demonstrated in the training. Download the Non-Travel Expense Report Quick Help Guide to see how in the example above you would end up with 20 transactions/receipts on a single report.
