Once saved, header page information, including the cash advance amount on Pre-approvals, cannot be easily edited. Users can delete all expenses from the report and then click edit on the header and it does allow you to change anything that needs edits, but you would then have to re-add the expenses. This is only slightly better than deleting the Report completely and starting over, but it may be a better alternative. 

An additional weird situation is if they edit a non-travel report header and get asked for a travel type. Fix: after you finish making any edits you need to on the header, in the report type dropdown, select travel or Athletics travel and then non-travel again.  The travel type field disappears and you can save.  Best Practice: get the header information correct the first time. We’ll continue to work with Chrome River to find possible redesigns (but this is a system limitation for now).

We need to remind people that they can upload their receipts right away, but they need to wait for the charges to appear before they can create an Expense Report for them.  It can take about 3 days (sometimes longer) from the time of purchase for the P-card charges to appear.  If people attach a receipt to an expense report without a P-card expense it will generate a ‘pay me’ expense. 

When opening the eWallet in Chrome River, the default is to ‘all’.  This shows them EVERYTHING they have that can be added to a report – receipts, pcard expenses, travel cash advances.  To help people identify when they actually have P-card expenses to add to a report, they need to be looking in their eWallet under ‘Credit Card’.  These transactions will say ‘P-Card (US Bank)’ and will show a dollar amount.  Items that say ‘Receipt’ are the pictures that have been uploaded or added via email or App.  This is the backup documentation that will be attached to a report. 

An approver can make changes directly, but there are a few instances that will require you to return a report for fixing.  Review the Approvals Quick Help Guide above for step by step directions.

Yes, this draws attention to the approver that the report submitter had to provide an explanation about some issue, so you are aware and can review those comments.

Chrome River is set up to route to the appropriate approvers, based on department and index.  If you choose a funding source that is grant related, in addition to routing to your supervisor, the report is also routed to the appropriate grant approvers for each campus. 

Yes, and a return comment must be entered by the person returning the report.

Yes. There is an automatic email that is sent, unless the approver has opted-out in Settings (click on your name in upper right corner).
