What is an Enterprise Data Request?

An Enterprise Data Request is a formal process for requesting access to university data for reporting, integrations, or other official purposes. This process ensures that all requests are reviewed for security and appropriateness before any data is shared.

Who Should Use This Process?

Use this process if you need a defined set of data from one or more university systems (like Banner), especially if you are requesting 'all' records for a group (e.g., all Bozeman students). If you’re unsure whether your request qualifies, email Luke Schalewski with your questions.

Before You Begin

Request Form Example

First, contact the Enterprise Data Lead for the appropriate campus and data type (Student, Instructional, Financial, Personnel, Research) if your request involves software integration or you’re not sure what data you need. An Enterprise Data Lead is someone who reviews the requested datasets and provides a recommendation to the Data Stewards based on their technical knowledge and expertise. Once the Data Lead confirms whether the necessary data integration is technically feasible, you may proceed with the next steps.

Who Reviews Your Request?

  • Data Lead: Reviews your request based on technical expertise. 
  • Chief Information Security Officer (CISO): Reviews all requests for security risks.
  • Data Steward: The person responsible for approving the release of data. Find the right Data Steward for your request at the Data Stewards page.

How to Submit a Data Request

  1. View a blank Data Request Approval form and gather the necessary information (to be added soon).
    1. Identify your Data Lead in the table above.
    2. Identify your Data Steward using the Data Stewards page.
    3. Identify your Executive Sponsor. This is someone at the Vice President level who has ultimate responsibility for the success and funding of the project.
  2. Complete the Data Request Form. Fill in all required fields, attaching a file with any additional information that would help support your request.
  3. Sign and submit the form. The form will route to the CISO, Data Lead, and Data Steward(s) for review and signatures. All approvals must be completed within 59 days, or you will need to start over.

Tips for a Successful Request

  • Only ask for what you need. Requests for large datasets may be denied if only a small amount is needed.
  • It is recommended that data requests are submitted using one data type per one Data Steward. For example, if you had a request for student data on all four campuses, you would need to complete four data requests (one for each campus with sign-off from each student Data Steward). Or if you had a request for student data and personnel data for just one campus, submit two requests (one for each data type). NOTE: The request can be copied between multiple requests, but identifying the different Data Stewards for each.
  • Sensitive data (PII/FERPA) will be reviewed carefully and may require removing unnecessary fields.

Making Changes to an Approved Request

If you need to amend or change the data fields in a request that’s already been approved, you do not need to submit a new request. Instead, use the Data Request Addendum process.
